The problem

Why this is still manual

Tax forms arrive with every new investor and expire on their own schedule. Teams check each form by hand for the right type, signature, date and claims, compare it with the subscription documents, classify entities for FATCA and CRS, and chase what is missing. A wrong status means wrong withholding and wrong reporting.

Checks

What the agent checks

Right form, complete and currentThe form fits the investor (W-9, W-8BEN, W-8BEN-E, W-8IMY, W-8ECI or W-8EXP), and it is complete, signed, dated and still valid.
Consistent with the fileName, country, address and entity type match the subscription documents and the KYC record. A US address on a W-8 is flagged.
FATCA and CRS classificationEach entity is classified from its self-certification, and missing controlling persons are flagged.
Withholding statusA proposed withholding status and rate for each investor, with the evidence, for a reviewer to approve.
Expiry and changesExpiry dates are tracked, and a change in an investor's details triggers a fresh check.
Follow-ups draftedRequests for missing or outdated forms are drafted for your team to review and send.
How it works

From form to approved status

  1. CollectForms arrive through onboarding or your existing process.
  2. CheckEach form is validated and compared with the rest of the investor's file.
  3. ClassifyFATCA and CRS status and a proposed withholding status, each with its evidence.
  4. ApproveA reviewer approves the status or sends a follow-up to the investor.
  5. Keep currentExpiries and changes in circumstances bring the investor back for review.
In practice

Works with the other agents

From onboardingTax forms come in during onboarding, so the Investor Onboarding Agent passes them straight to this agent.
With KYCThe KYC Agent's ownership findings feed the controlling-person checks. Both work from the same investor record.
Scope

What it does, and what it doesn't

We would rather you know the boundaries up front.

What it does

  • Checks every form for every investor, not a sample.
  • Links each finding to the line on the form and the document it conflicts with.
  • Applies your firm's tax procedures as rules your experts approve.
  • Keeps a record of every check, decision and approval.

What it doesn’t do

  • It does not give tax advice or sign forms on anyone's behalf.
  • It does not set withholding on its own. A reviewer approves every status.
  • It does not file FATCA or CRS reports. It prepares the classifications your reporting relies on.
